Did you know that the SAP Ariba Procurement Operations Desk<\/strong> is not only available for <\/span>P2P,\u00a0<\/span>but <\/span>also for Sourcing<\/strong>? The Procurement <\/span>Operations <\/span>Desk<\/span> is an integrated Dashboard where you can monitor and manage your business workload related to: Requisitions, Invoices, Contracts, Suppliers and also Sourcing projects.<\/span>\u00a0<\/span><\/p>\n

In this blog I want to focus on <\/span>a<\/span> use case where your organization has an Integrated Suite with SAP Ariba Sourcing, SAP Ariba Buying and Guided Buying and wants to use operational sourcing.\u00a0<\/span>\u00a0<\/span><\/p>\n

Use Case Sourcing<\/span>\u00a0<\/span><\/h4>\n

Your company wants to create an RFQ (Quote<\/span> Request<\/span>) for a new analytical device. For this purchase you want a quote from 3 suppliers as<\/span> it is a very expensive device which is not purchased often. You go to SAP Ariba Guided Buying and open the required form for this kind of product. Once\u2019s done<\/span>,<\/span> you submit the form and an RFQ is created in SAP Ariba Sourcing<\/span> (because of a high touch<\/span> policy<\/span>). Now a Sourcing Agent needs to pick up the RFQ to complete and publish it to the suppliers. The suppliers can submit a bid for the request and depending on the scenario the RFQ can be awarded to a supplier by a Sourcing Agent. The request is sent back to Guided Buying and you can create a Requisition from the RFQ.<\/span>\u00a0<\/span><\/p>\n

Problem<\/h4>\n

At the moment you submit the form and an RFQ is created in SAP Ariba Sourcing a <\/span>notification is sent to the members of the \u2018Event Administrator\u2019<\/span><\/i><\/b> group. As this is a very powerful <\/span>group it has to be approved by Ariba before assigning to users. So, only a few <\/span>people will have this group assigned in your organization and will receive the notification about the ongoing RFQ.<\/span>\u00a0<\/span>\u00a0<\/span><\/p>\n

Sourcing Agents are <\/span><\/i><\/b>not<\/span><\/i><\/b> notified and need to <\/span><\/i><\/b>run a manual search for the new created RFQ\u2019s which is very inefficient.<\/span><\/i><\/b>\u00a0<\/span><\/p>\n

Solution<\/h4>\n

Ask your SAP Ariba DSC to log a Service Request to enable the \u2018Procurement <\/span>Operations Desk for Sourcing\u2019. W<\/span>e can help to make the most efficient configurations for this feature<\/span>. <\/span>Many settings are possible, e.g. automatic reassignment of tasks to Sourcing Agents and SLA\u2019s for the tasks.\u00a0<\/span>\u00a0<\/span><\/p>\n

When the required users are assigned to the <\/span>tool<\/span> t<\/span>hey will be able <\/span>t<\/span>o see, manage and re-assign the RFQ\u2019s to the correct Sourcing Agent. So no more manually searching for RFQ’s.<\/span>\u00a0<\/span><\/p>\n

The main benefit of this solution is that ALL the requests are monitored. None of the RFQ\u2019s will be lost in the system <\/span><\/b>due to miscommunication between Event Administrators and Sourcing Agents.
